How Do Signing Notifications and Reminders Work?

Here's how Concord handles email notifications throughout the e-signature process.

When Signers Are Notified

When you click Request Signature in the Signers panel, the signer receives an email with a link to the document.

Named signers receive a direct email notification
"Anyone internal" signers: all internal document participants are notified, and the signing task appears in their Tasks list
"Anyone external" signers: all external participants receive an email notification

Signers who haven't signed receive up to 4 reminder emails, one every 7 days, until they complete their signature.

These reminders are system-generated and stop automatically once the signer completes their signature.

This setting is enabled by default and controls what happens after each person signs.

When enabled (with signing order active):

After each signer completes their signature, the next signer in line is automatically notified
You don't need to manually request each signature — the system handles it

When disabled:

Note: The first signature request is always manual — auto-request only handles subsequent signers.

When all required signatures have been collected, all document participants (internal and external) receive a "Fully Signed" notification email.

If signers are receiving too many emails, you have two options:

Option 1: Disable Auto-Request Signatures

Go to Advanced Settings in the Signers panel
Toggle off Auto-request signatures
Each signature must now be manually requested — no automatic notifications after signing

Option 2: Enable Signing Order

Go to Advanced Settings in the Signers panel
Toggle on Signing Order
Only the next person in line receives a notification after each signature, instead of all signers being notified at once
