How Do I Send a Document for E-Signature?

You must have editing rights on the document to send it for e-signature.

Here's how to configure signers and request signatures on a document in Concord.

Step 1: Configure Signers

  1. Open your document
  2. Click Configure Signers from the Signature menu at the top of the screen, or use the Signers section in the right-hand panel
  3. Enter the email address of each person who needs to sign
  4. For each signer, choose the type:

- Anyone — any user with document access and signing permissions can sign

- Internal — only internal users with signing permissions can sign

- External — only external guests can sign

If a signer hasn't been invited to the document yet, you'll see an option to invite them immediately or save for later.

Step 2: Set Up Signature Fields

Before requesting signatures, you need signature fields on the document so each signer knows where to sign. There are two approaches:

  • Pre-Set Signature Blocks (Recommended) — Concord automatically generates a signature block at the bottom of your document. Enable it from the Signers panel under Advanced Settings, or toggle it from the bottom of the document. No manual field placement needed.
  • Manual Signature Fields — If you need signatures in specific locations within the document, you can drag and drop signature fields from the Fields panel. Every signer needs at least one Signature field when not using Pre-Set Signature Blocks.

Step 3: Request Signatures

  1. In the Signers panel, click Request Signature under the signer's name
  2. The signer receives an email notification with a link to the document
  3. The document automatically moves to the Signing stage and editing is locked

Note: Signature requests are optional — signers can sign without an explicit request if all other requirements (fields, approvals) are met.

Setting a Signing Order

To require signers to sign in a specific sequence:

  1. Open Advanced Settings in the Signers panel
  2. Toggle Signing Order on
  3. Drag and drop signers into the desired sequence
  4. The first signer signs first, then the next signer is notified, and so on

Auto-Request Signatures

This setting is enabled by default. When signing order is active:

  • After each person signs, the next signer in line is automatically notified
  • If disabled, you must manually request each signature one by one
  • The first signature request is always manual — auto-request handles subsequent signers

Important Notes

  • Maximum 20 signatures per document
  • All approvals must be completed before signatures can be requested
  • All tracked changes must be resolved before signing can begin
  • External guests do not need a Concord account to sign
