Answers to common questions about Concord's e-signature and document signing features.

Can I Cancel Signatures on a Document?

Yes. If a document is in the Signing stage, you can cancel all signatures:

  1. Open the document
  2. Go to the Signature menu
  3. Select Cancel Signatures

This reverts the document to the Review stage, removes all existing signatures, and unlocks the document for editing. You can then make changes and re-request signatures.

Important: Concord does not generate cancellation certificates. Cancelling signatures simply returns the document to its pre-signing state.

Can I Modify a Document After Sending for Signature?

Not directly. Once the first signature is requested, the document enters the Signing stage and editing is locked.

To make changes:

  1. Cancel all signatures (this reverts to Review stage)
  2. Edit the document
  3. Re-request signatures

Why Did My Document Move to the Signing Stage?

The first signature request on a document automatically moves it to the Signing stage. This locks editing and signals that the document is ready for signatures.

What's the Maximum Number of Signers?

A single document can have up to 20 signatures configured.

Can a Viewer Sign a Document?

No. Users with the Viewer role cannot sign documents. To allow them to sign:

  • Option 1: Assign them a paid seat with signing permissions
  • Option 2: Remove them as an internal user and add them as an external guest — external guests can sign without a paid seat

What's the Difference Between Signed Date and Finalized Date?

  • Signed date: The date and time each individual person signed the document
  • Finalized date: The date the document was marked as fully completed (either when the last signer signed, or when someone used Finalize Signing)

Who Completes Required Fields Assigned to "Anyone"?

When required fields are assigned to a broad category like Anyone, Internal, or External (rather than a specific person), each signer in that category can sign after completing their own assigned fields. However, the last signer in the category is responsible for completing any remaining empty fields before they can sign.

For example: if Person A, Person B, and Person C are all "Anyone" signers, Person C (the last to sign) must complete any required fields that Person A and Person B left blank.

How Do I Terminate a Signed Contract?

To mark a signed contract as terminated (cancelled or expired):

  1. Open the signed contract from your Document Inbox
  2. From the File menu, select Mark as Terminated
  3. Enter the termination date and confirm

If the termination date is in the past, the contract immediately appears as Signed - Canceled. If the date is in the future, the contract stays Signed - Active until that date.

To undo a termination: open the contract, go to File > Cancel Termination, and the contract reverts to its original status.

How Do I Download the Signed PDF?

Once all parties have signed, you can download the fully executed document:

  1. Open the signed document
  2. Click Export
  3. Select Download

The downloaded PDF includes binding e-signature data: document ID, signature dates, signatory IP addresses, and email addresses. Note that signatures only appear on the PDF when all parties have signed — if the document is still in the Signing stage, signatures are not included in the download.

To download the audit trail separately, use Export > Download Signature Certificate.

How Do I Delete a Document in the Signing Stage?

Deleting a document that is in the Signing or Review stage requires several steps:

  1. Cancel signatures (if any have been collected): Signature menu > Cancel Signatures
  2. Remove all signers: Open the Signers panel and remove each signer
  3. Cancel the negotiation: File menu > Cancel Negotiation
  4. Send to trash: File menu > Move to Trash

Once in the Deleted folder, you can permanently delete the document or restore it.

Can I Sign from My Phone?

Yes. Concord works in mobile browsers — you can sign documents from your phone or tablet without downloading an app. Open the signing link from your email and follow the same steps as on desktop.
